Plan a behavioral health billing-vendor transition with a deposit handoff specimen linking bank receipts, remittances, posted cash, and unresolved allocation.
A billing-vendor transition should reconcile open deposits by receipt and remittance reference, so the same cash is not lost or counted twice when claim activity and payment arrival cross the handoff date.
A claim can be prepared under one operating arrangement while its payment arrives after another begins. If each team builds its list from a different date, an actual receipt can become an orphan between them or appear in both totals. The transition packet should follow the money and its references, not only the vendor calendar.
Behavioral health billing vendor transition open deposits
Start with the actual entity, selected bank accounts, transition scope and observation cutoff. Identify which receipts are in the population and which open allocations need review. A billing-vendor change does not, by itself, transfer ownership of cash or settle service-agreement responsibilities.
This guide proposes an original operating handoff specimen. It supplies no contract interpretation, payer enrollment instruction or accounting recognition rule. Qualified owners establish the real responsibilities and appropriate financial treatment. Use synthetic records for the procurement demonstration.
Separate three dates before assigning work
Record service or claim activity date, payment-arrival date and the operating handoff date separately. They can differ without indicating an error. The person investigating a receipt needs the relevant claim history even if another team prepared it before the handoff.
Also distinguish observed bank receipt from remittance availability and posting completion. One event can be established while another remains pending. A receipt that has reached the bank but not been allocated is a different question from a payment not yet observed.
Write who supplies the earlier source records and who accepts the receiving packet. Access to a new billing worklist does not prove that historical receipts, adjustments and unresolved cash are included. Inspect the actual delivery and receiving process proposed.
Reconcile a fictional $1,000 deposit
Assume the selected bank evidence establishes one $1,000 receipt. Its reviewed remittance relationship also totals $1,000 after its explained adjustments. The local account evidence shows $600 posted and $400 still awaiting allocation. All values and references are invented.
| Layer | Fictional reference | Amount | Meaning in this specimen |
|---|---|---|---|
| Bank receipt | BANK-71 | $1,000 | Cash observed in the selected account |
| Matched remittance result | REM-42 | $1,000 | Reviewed advice relationship |
| Posted portion | POST-19 | $600 | Selected posting evidence |
| Unresolved allocation | OPEN-08 | $400 | Receipt exists; allocation remains open |
The receipt reconciles as $600 plus $400. It should not become a $600 receipt because only that amount is posted, or a $1,400 receipt because someone adds the unapplied $400 to the original $1,000 again.
Give the specimen to both outgoing and receiving reviewers. Each should identify the same actual receipt and the same unresolved allocation. A disagreement about responsibility remains a separate issue to resolve; it should not change the observed cash amount to make one team's report easier to explain.
Inspect adjustments before matching claim totals to the bank
CMS explains Medicare provider-level adjustments that are separate from particular claims. That source is one reason not to assume every remittance-to-bank difference can be allocated proportionally across current claims. Establish the actual advice and adjustment evidence.
For a second fictional layer, suppose REM-42 shows $1,200 of selected claim payments and an explained negative $200 provider-level adjustment. The resulting amount is $1,000. The adjustment does not prove that each current claim was underpaid by a proportional amount.
Keep the adjustment reference and its unresolved questions in the packet. If the source does not explain an item, record that limitation and the responsible investigation. Do not invent a claim relationship merely to force a neat match to the bank.
Confirm which payment and advice belong together
CMS provides EFT and ERA operating-rule resources addressing payment and remittance relationships. In the actual transition, use the available trace and transaction evidence appropriate to the arrangement. A similar dollar amount on the same day is not enough to establish a relationship by itself.
Introduce two fictional $1,000 receipts on one day. Ask the reviewer to establish which advice belongs to BANK-71 without guessing from amount alone. If a reference is unavailable, identify the next evidence needed rather than marking the match as complete.
Then give the receiving reviewer a duplicate copy of REM-42. The duplicate document should not create another receipt or another $1,000 posting. Preserve document identity and transaction identity as separate concepts when the actual process needs both.
Assign the open allocation explicitly
For OPEN-08, state the known amount, source relationships, missing information, responsible reviewer and next action. Avoid a vague category called old vendor work with no receiving owner. An unresolved allocation can require information from the outgoing arrangement while still needing active coordination after the handoff.
The receiving owner should acknowledge the packet's actual scope. Acknowledgment can mean received for review rather than accepted as correct. Define that milestone so neither team treats delivery alone as resolution of the $400 question.
Check the service agreement and organizational authority for actual work allocation. The specimen does not decide which vendor can post, adjust or refund funds. It identifies the evidence and coordination needed for the authorized parties to make those decisions.
Rehearse a late-arriving result after handoff
Add a new remittance observation after the initial packet is delivered. Identify whether it resolves OPEN-08, changes an earlier interpretation or creates another question. Preserve the earlier packet version so the receiving employee can explain the change.
Ask what happens if the outgoing employee is unavailable. The packet should contain usable references and a defined support route, rather than depending on one person's memory. A platform scope review should include access to the necessary history and the responsibility for supplying it.
Also inspect one earlier completed allocation. It should not be reopened merely because the same source file was delivered again. The test distinguishes genuinely new information from repeated delivery of information already reviewed.
Review the transition with finance and operations
Ease offers a unified CRM, EHR, and RCM platform for behavioral health. Bring BANK-71, REM-42, POST-19 and OPEN-08 to a joint CRM, EHR, and RCM scope review. Ask the proposed team to show what historical evidence is available and which steps remain with each party.
The acceptance outcome is a receiving reviewer who can explain the $1,000 receipt, its $600 posted portion and its $400 unresolved allocation without counting any cash twice. Record actual delivery limits and manual work. Do not treat the exercise as proof of a bank integration, automatic reconciliation or a particular billing-service contract.

Frequently Asked Questions
Does the billing handoff date decide who owns an arriving deposit?
Not by itself. Establish the actual legal entity, account, service agreement and transaction evidence. Claim submission, receipt arrival and contract responsibilities can cross different dates.
Can an old vendor submission produce a payment after a new vendor starts?
Include that possibility in the transition test and verify the actual circumstances. Preserve the original claim and receipt references rather than allocating responsibility only by arrival date.
Is unapplied cash the same as missing cash?
No. Establish whether a receipt was observed and what remains unresolved in allocation or posting. The specimen should distinguish a bank receipt from the accounting or claim relationships still under review.
What should the open-deposit handoff packet contain?
Include the selected receipt, relevant remittance and claim references, posting evidence, unresolved amount, review owner and next evidence needed. Use appropriate access and handling for actual records.
