("Ease Health," "we," "us," or "our") operates the website easehealth.com and provides a cloud-based platform that unifies CRM, EHR, and RCM for behavioral health providers (the "Service"). This Privacy Policy explains how we collect, use, disclose, and protect your information when you visit our website or use our Service.

By accessing our website or using our Service, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use our website or Service.

Information You Provide

  • Account Information. When you create an account or request a demo, we collect your name, email address, phone number, job title, and organization name.
  • Form Submissions. When you fill out a contact form, download a resource, or request information, we collect the data you submit.
  • Communications. When you email us, submit a support request, or otherwise communicate with us, we collect the content of those communications.
  • Payment Information. If you purchase our Service, we collect billing details such as your billing address. Payment card information is processed by our third-party payment processor and is not stored on our servers.

4. Protected Health Information (PHI)

Our Service is designed for behavioral health providers who handle Protected Health Information as defined by the Health Insurance Portability and Accountability Act (HIPAA). When we process PHI on behalf of our customers in connection with the Service, we do so as a Business Associate under a Business Associate Agreement (BAA).

This Privacy Policy does not govern PHI processed through our Service. The handling of PHI is governed by the applicable BAA between Ease Health and the covered entity, and by HIPAA and applicable state regulations. Our customers (covered entities) maintain responsibility for obtaining appropriate consents from their patients.

The information collected through our marketing website (easehealth.com) is not PHI.

5. Cookies and Tracking Technologies

We use the following categories of cookies and tracking technologies:

  • Essential Cookies. Required for basic site functionality such as navigation and access to secure areas.
  • Analytics Cookies. Help us understand how visitors interact with our website, including page views, clicks, and navigation patterns. We also use session replay technology that records how visitors interact with our site (mouse movements, clicks, and scrolling). Session recordings mask sensitive input fields such as form data.
  • Marketing Cookies. Used to deliver relevant advertisements and track campaign effectiveness. These may be set by third-party advertising and social media partners.
  • Functional Cookies. Enable enhanced functionality such as remembering your preferences.

Tracking technologies on our website are active by default. You can opt out at any time through the cookie settings on our website or through your browser settings. Disabling cookies may affect the functionality of our website.

We also use visitor identification technology to identify business visitors to our website. This technology identifies the company associated with a visitor's IP address and is limited to business contacts within the United States.

6. Data Retention

We retain your personal information for as long as necessary to fulfill the purposes described in this Privacy Policy, unless a longer retention period is required by law. When we no longer need your information, we will securely delete or anonymize it.

For marketing website data (form submissions, analytics), we generally retain information for up to 36 months from your last interaction with us.

  • Do Not Track. Our website does not currently respond to "Do Not Track" browser signals.

California Residents (CCPA/CPRA)

Our website and Service are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we learn that we have collected personal information from a child under 18, we will take steps to delete that information promptly.
